Many entrepreneurs are frightened by the news of a Tax Authority audit, even though the prepared companies have nothing to fear. The check is part of normal operation and chances are it will run smoothly if the papers are in order. In this article, we will summarize how you can prepare for a NAV check in advance.

Ordered papers are the basis

The backbone of the audit is documentation. If the receipts, invoices, contracts and returns are settled and retrievable, the audit is essentially a proof of the existing order. It is therefore worthwhile to maintain the records continuously – and not only on the news of inspection.

Incoming and outgoing invoices complete, chronological, verifiable.

Contracts and certificates of performance, which underpin economic events.

Declarations submitted and their basic data, in a compatible form.

Bank and cash receiptswhich justify the movement of money.

How to behave under control?

A cooperative, calm attitude always pays off. Hand over the requested documents, answer questions objectively, and if you are unsure about something, ask for time to reconcile. You don't need to know all the details by heart – it's a good idea to involve your accountant, who knows your records and helps you communicate with auditors.

Prevention is the best defense

The most calm inspection is the one that does not need to be specially prepared, because the business works normally. Continuous, professional accounting, meeting deadlines and careful handling of supporting documents are the best safeguards. And an experienced accountant will predict if something is worth changing before it becomes a problem.

The precise course and powers of the tax authority's audits are determined by the current legislation; it is always worth consulting with an expert on a specific matter.

As an individual entrepreneur, one of the most important – and confusing – decisions for many is what form of taxation to choose. Between flat-rate taxation and entrepreneurial personal income taxation based on itemized cost accounting, it does not matter which one suits your activity better. In this article, we understand what you should consider.

What is the difference between the two forms?

The flat-rate taxation its essence is that it does not keep and justify its actual costs, but can deduct from its revenue a proportion of costs determined by the law and tax only on the remainder. It depends on the nature of the activity, how much this proportion is, so the same income can lead to a different tax base.

The itemised cost accounting by contrast, it means that you can deduct from your income all expenses actually incurred, related to your business and certified by an invoice. This is beneficial if you have really significant, documentable expenses.

When which is better?

Low cost, low expenditure: typically, flat-rate taxation is simpler and more favourable, since you have few bills to collect, but you can still deduct a fixed cost percentage.

High, justifiable costs (material, subcontractor, equipment): in this case, itemized accounting may show a better result, because its real costs may exceed the flat-rate cost ratio.

Administrative burden: flat-rate taxation requires simpler accounting, but the itemized form requires accurate, continuous cost documentation.

It is important to know that flat-rate taxation has revenue limits and conditions, which are regulated by the current legislation, and the rules of choice during and at the beginning of the year must also be observed. These may change from time to time, so it is always worth checking the current regulations.

Don't just look at the numbers

The decision is not purely mathematical: the nature of the activity, the planned growth, the customer base and also how much time you can or would like to devote to administration matter. A well – chosen form of taxation can save money and Energy year after year-but a hasty choice can be an unnecessary burden and risk.

If you are unsure which form suits your business, ask for expert help. The employees of the Axia Accounting Office will review your numbers and give you a personalized proposal.
